Meeting Minutes for October 21, 2004
Meeting called to order at 6:40p.
Secretary Report - Minutes from the September Meeting were reviewed and accepted with one change. The climbing wall project expense has been reduced to a total cost of approx. $6500.00 and the PTO’s portion will now be approx. $3250.00.
Newsletter distribution changes were discussed. There was a motion to accept the changes and give it a try, it was 2nd and passed unanimously.
Treasurer’s report – Report was reviewed and accepted.
Fall Fundraiser – The fall fundraiser did well, sales were down slightly from last year. We have earned approx. $10,000.00 but we don not have the final numbers yet.
Ladies Night – Our first Ladies Night went well, everyone seemed to have a good time. The event earned $1008.00 and it only cost $6.65 to put on. Great job Renee!
Lion’s Breakfast – Gay needs volunteers to work the morning of Nov. 7th, She will send around a sign-up sheet.
Box Tops – Box Tops are offering some benefits to schools for online purchasing. Kelly will send out information.
Hannaford Program – We are registered with the Hannaford program and Lavon O’Connell will be handling the collection.
Halloween Bags have been stuffed and will be distributed October 29th.
New business
Year book – Last year the year book had a loss of approx. $2500.00 and because there was not a good response to the Year Book CD’s we needed to look into other options for a traditional printed year book that would be more cost effective. We did have a representative from the company who prints our year book attend the meeting to help with some ideas. Some of the ideas that were discussed were;
- To do the year book only for the 5th grade and asking parents to pay for half the cost rather than the PTO gifting the yearbooks in full
- Change the type of book from a Time Saver to a Memory Maker to include a larger number of pictures in the same amount of pages.
- Do pre-orders only, to avoid book overstock.
- Get promotional items from company to help with pre order sales.
- Do the book in black and white with either a color center spread for 5th grade or color bookends for 5th grade that they could design.
After much discussion there were some votes –
- There was a motion to change to the Memory Maker type of book, there was a 2nd and it was passed unanimously.
- There was a motion to keep the year book for the entire school, there was a 2nd and it was passed unanimously.
- There was a motion to ask the 5th grade to buy the book with exceptions for students that have a hardship, there was a 2nd and it was passed unanimously.
- There was a motion to keep the book black and white with a color center spread for the 5th grade, there was a 2nd and it was passed unanimously.
- There was a motion to do pre-orders plus an additional 10 books only, there was a 2nd and it was passed unanimously.
- There was a motion to set the cost at $15.00 a book, there was a 2nd and it was passed unanimously.
Promotional information will be provided by the company to help with the pre sale. They will also provide some support to the people designing the book. We need to provide a final order number by January.
Harlem Wizards – We have some new dates that have been offered to do a special rate show Jan 4-6th, Jan 9-13th and Jan 17-19th. Westminster PTO is very interested in doing this as one of our joint events for the year. We may have access to some discount rooms at one of the area hotels to help with the cost of supplying lodging for the team. We need to get a team together of approx. 12 people. There was a motion to accept this as our January event, it was 2nd and passed unanimously. There was a motion to have Gay try and secure the dates and times in the following order which ever should be available first;
#1 - Sunday Jan. 9th , afternoon game.
#2 – Monday Jan. 17th, 6-8p.
#3 – Thursday Jan. 13th, 6-8p.
Gay will need volunteers to help work this event.
Teacher Christmas Gifts – The teachers would like to ask the students to make donations to the PTO in lieu of giving them gifts but they would like the money the parents donate be segregated specifically to their child’s grade level mini-grant fund.
Book Fair – The book fair starts the Tuesday after Thanksgiving and will run until the next Monday. Lynn will need volunteers to help set up Monday November 29th.
Avon – The Avon fundraiser starts Nov. 1st, booklets will be distributed to the students. The full book will offered, the middle pages that show lingerie will be stapled together and people will not be able to order from those pages. All orders will be due by Nov. 15th. Prizes for top sellers will be #1 Razor scooter and helmet, #2 & #3 will be $25 gift card. We will also offer a pizza party for the top participating class from K-2 and 3-5.
Tyson food tops Program – We have information but need volunteer to collect.
New England Script – Another fundraising opportunity. We will schedule a rep. to come explain the program.
