Friends of Briggs/PTA Meeting Acting President: Raeanne Clark Co-Vice Presidents: Meghan Picone & Raeanne Clark Treasurer: Paula St.Laurent - Kuehl Secretary: Wendy LeBlanc September 10, 2008
Raeanne Clark opened the meeting at 6:30pm with 16 members in attendance.
Treasurer's Report Treasurer's report was presented. Motion was made to accept the Treasurer's report.
Secretary's Report The Secretary's report was presented. Motion was made to accept the Secretary's report.
PTA President The position of President is currently a vacant position. Raeanne Clark has voiced an interest in running for this position. Rachel Fowler made a motion to nominate Raeanne Clark to the position of President and was seconded by Gail Dumont. Vote was held with a result of 7 yes, 0 no. VP2 position is open. This position backs up the Secretary, sends ¼ news letter, assist the secretary as needed. Anyone interested, please submit your letter of interest to the PTA.
Open House Open house is on Wednesday, Sept 17th. Extended Day is holding their dinner fundraiser. Tables will be set up for voter registration as well as the building committee. The PTA will set up a table in the entrance under the awning. We will have volunteer sign ups as well as PTA membership sign up available. 5:30 Dinner is served and 6:00 – 7:30pm is the Open House. Wendy will work 7- 7:30. Meghan is available after 6pm to work the table. Sign up sheet will be passed around to work the PTA table the night of open house.
Welcome Packets Welcome Packets went home. Extras are in the office and letters will go to teachers letting them know there are extras in the office for those children who did not get one.
Fall Family Fun Day Next meeting is Monday, Sept 22nd at 6:15pm in the cafeteria. This is a combined fund raiser between the PTA, the Enrichment Fund and Extended Day. Proceeds will be split 3 ways. Event is on October 4th. PTA is in charge of the BBQ at this event. Please see any board member if you can help out! We have a donation for chips. A donation has also been requested from BJS. We need volunteers to help run this table (cooking, serving, cashier, etc). Paula is chairing the “cake walk” at this event. Cotton Candy and Popcorn machine from hardware store has been reserved. Snow Cone machine from Extended Day will also be used. Charcoal is needed for the grills. Raeanne offered to research donations for this. Ice is needed for the snow cones. Motion was made and seconded to provide maximum of $600.00 for the supplies for the Family Fun Day BBQ.
The digital cameras are going to be used for Family Fun Day. We need photo paper and ink cartridges for the Family Fun Day event. Motion was made for $60.00 towards purchasing photo paper and ink cartridges. Motion was made and seconded by Deanne Smith.
Summer PTA Meeting The Lexington Summer PTA meeting was attended by Raeanne. We received PTA registration forms for 2008 and PTA tool box materials that we can use for open house.
PTA Bulletin Board & Closet Wendy and Raeanne painted the bulletin board and decorated the board in August. Wendy will maintain the data on the board. Meghan and Paula inventoried the closet and we have a list of what is currently on hand.
School Tool Box School toolboxes have been delivered to the classrooms. Raeanne explained tool box program to the new incoming parents.
Map of the World Map of the World on the front walkway needed to be re-painted . It was recently re-painted by the girl scouts using the stencil we purchased two years ago. The names of the continents will be put on the map by the girl scouts. We are looking to also put on a sealcoat. The girl scouts went to Economy paint for information on sealcoats. The cost is $24.99 a gallon for regular sealcoat or acrylic sealcoat at $45.00 a gallon. The sealcoat may make the walkway slippery. Need to find out what the sealcoat will do before deciding on purchasing and applying the sealcoat. Raeanne will contact Economy Paint to find out.
Feasibility Study Paula and Meghan have been attending the building committee meetings. As JR Briggs parents we need to get the word out about the upcoming vote. The feasibility plan is a requirement of the state to make the determination if building can be salvaged, partly salvaged or new construction as well as site analysis. PTA provided the insert in the Community Journal back to school issue. We need people to be visible in town the day of voting holding signs reminding folks to vote. Tours of the school will occur during Open House on Sept 17th and at a general public tour on October 1st.
Teacher Involvement Raeanne attended the teachers meeting on Monday before school started. We will post a reminder in the Teacher’s room and put reminders in teacher mailboxes the Monday before each meeting.
Membership Coordinator Paula St.Laurent – Kuehl was last year’s Membership coordinator. We need a new coordinator now that Paula is the Treasurer. Paula explained her responsibilities and what the position entails. Coordinator is responsible for collecting enrollment forms and membership dues, sending membership dues to the National PTA, maintaining a PTA membership listing. Liz Gendreau has volunteered to be the membership coordinator for this school year. THANK YOU LIZ!!!
Grade Level Fundraiser Last year we did the Money Madness Gift card calendars as the grade level fundraiswer. In previous years we did the raffle baskets. Raffle baskets are created by each grade level and raffle tickets are sold for each baskets. We take the total intake and divide it by 7 (K-5 and specials) and give the money made to the grade levels and specials for use towards field trips, guest speakers, etc. The PTA is looking for new grade level fund raising ideas this year. Whatever we decide, selling needs to start before Parent Teacher conferences in late November. Other suggestions for fundraisers this year: Harlem Wizards Movie Night
Chairs/Co-chairs for events We need members to chair/organize our events. Per PTA by-laws, board members can not touch money, or chair an event. Board members can co-chair as long as they do not handle the money. We have folders/guides to help the chairperson facilitate the production of each event. If you are interested in chairing any of this year’s events, please see a board member.
Rachel Lee Donation The Make a Wish Foundation had been in touch with the Lee family. The Lee family has requested that Rachel’s wish be something to give back to the school. Due to Rachel’s athleticism and love of the outdoors, they found a playground/obstacle course that would be located at the school. The Make A Wish Foundation is looking for a re-locatable piece of equipment in the event with a new school it needs to be moved. The PTA would like to donate a tree or something to be planted next to this equipment in Rachel’s memory. We will discuss this further at the next meeting.
Student Directory The Student Directory was done last year. We typically produce this every other year. Classroom teachers are currently doing their own classroom listing this year. We will look to publish a directory next year.
Open House Letter Request We received a request from Dr. Zapantis to send a letter from the PTA to area organizations announcing the October 1st public tour dates. Letters are near completion and will have a copy of the feasibility flyer enclosed. Letters will be mailed out by Monday. The PTA has the paper, envelopes and stamps.
Family Skate Family Skate is going to take place October 26th 2-4 at Cushing. The ice has been booked. Traci Podraizik has offered to chair the event. We will collect candy donations from parents and hand out candy bags at the skating event. Costume not required but prizes will be given to those who come in costume.
